The Problem
Professional services Ops teams constantly need to move timecards between projects and assignments, when:
- Consultants select the wrong assignment during time entry
- Projects change or get reorganized
- Clients request rebilling
- Time gets reallocated between internal projects
- Project phases or budgets transition and require new assignments for traceability
Your current process: Reject the timecard and send it back to the Consultant to fix (introduces delays and inefficient) OR clone / recreate the timecard on the new Project / Assignment and delete the original timecard (creates audit trail issues).
The Solution
The Timecard Move Wizard walks your operations user through a guided 30 second workflow that updates timecards in place while maintaining complete audit trails.
How it Works
The wizard launches directly from the Timecard Header with a custom button. When clicked, it presents a GUI where operations user:
- Selects the destination project (required)
- Selects the destination assignment (required unless moving to a Global project)
- Selects the milestone if needed
- Adjusts the billable flag if needed
- Reviews and confirm the changes
Upon confirmation, the wizard updates the existing timecard record (no duplicates created), populates audit notes with comprehensive from/to details, and sets Admin Global Edit = True.
This wizard leverages native Certinia PSA “Admin Edit” capability: when Admin Global Edit = True and Audit Notes are populated, Certinia allows timecard project and assignment updates.
We built this in 2014 for our own operations team and have deployed it for many customers since then. It eliminates the navigation, reduces errors, and gives operations managers a consistent, auditable way to handle timecard moves.
Some teams move 5 timecards per week. Others move 50. Either way, the time savings add up fast.
